A quarterly tax-planning agenda for growing owners

Make the conversation about current results and upcoming decisions.

A quarterly review works best when it starts with updated numbers and ends with decisions, owners, and dates. Bring the year-to-date financial statements, a full-year forecast, payroll information, and a list of decisions likely to happen before the next meeting.

Use a current forecast

Compare actual results with the assumptions used at the previous meeting. Flag unusual receipts, a major contract, a planned asset purchase, a new location, or an acquisition. Ask the adviser to show how the changed forecast affects the tax-payment plan and the owner's cash needs.

Record the decisions

Keep a short action register identifying the task, the person responsible, the required documentation, and the target completion date. At the next review, check whether the work happened and whether the facts still support the decision. Separate recommendations from items already implemented.

Bring this to the conversation.

  • Year-to-date financials and updated full-year forecast
  • Tax payments made and available confirmations
  • Planned transactions and capital spending
  • Open implementation items from the previous review

Three questions worth asking.

  1. What has changed since the last forecast?
  2. Which decision needs attention before the next meeting?
  3. What documents or approvals are still missing?

Turn the discussion into a next step.

Ask for a written action list that identifies what should happen, who is responsible, and when the team should review the result. Keep supporting documents with the decision so the books, payroll, and return preparation can follow the same facts.
