Revenue, profit, and owner cash are three different numbers

Why a seven-figure company can still need a better cash and tax forecast.

Revenue measures sales. Profit reflects the earnings after the expenses included in the relevant financial statement. Cash available to an owner also depends on collections, debt payments, purchases, working capital, and the timing of tax payments. These numbers can move in different directions in the same month.

Build a bridge from profit to cash

Review receivables, payables, debt principal, capital purchases, inventory, and changes in customer deposits alongside the profit and loss statement. Identify cash committed to payroll and other operating needs before considering an owner withdrawal. A growing business can require more working capital even while reported profit improves.

Keep the tax forecast separate

Book profit and taxable income can differ. Ask your adviser to identify the adjustments rather than assuming the amount in the accounting software is the amount on the return. A useful dashboard shows operating profit, expected taxable income, and cash available after reserves as separate lines.

Bring this to the conversation.

  • Monthly profit and loss statement and balance sheet
  • Receivables and payables aging reports
  • Debt repayment and capital purchase schedule
  • Rolling cash forecast with an explicit tax reserve

Three questions worth asking.

  1. How much of this month's profit has actually been collected?
  2. Which cash payments are not expenses on the income statement?
  3. What amount is available to distribute after operating reserves?

Turn the discussion into a next step.

Ask for a written action list that identifies what should happen, who is responsible, and when the team should review the result. Keep supporting documents with the decision so the books, payroll, and return preparation can follow the same facts.
