# Build a tax reserve around a forecast, not a guess

Coordinate owner income, payment timing, and business cash needs.

A flat percentage of revenue rarely captures an owner's full tax picture. Start with projected taxable income, withholding, payments already made, the entity's tax treatment, and the owner's other income. Ask the adviser to distinguish the estimated final liability from the payments needed during the year.

## Create a payment map

List each payment obligation, the taxpayer making the payment, and the relevant payment channel. Keep evidence of payments where the tax team can find it. The business's payment obligations and the owner's personal obligations should be identified separately.

## Refresh the forecast when results change

A large new contract, weaker margins, an owner distribution, or a major transaction can change the assumptions. Agree on a trigger for revisiting the reserve, rather than waiting until filing time. Keep the operating cash forecast visible so tax payments do not collide with payroll or other commitments.

## Bring this to the conversation.

- Expected business and personal income
- Withholding and prior estimated payments
- Current cash and working-capital needs
- A calendar identifying taxpayer, amount, and review date

## Three questions worth asking.

- Does the reserve reflect profit rather than sales?
- Which payment rules apply to each taxpayer?
- What event should trigger a new forecast?

## Turn the discussion into a next step.

Ask for a written action list that identifies what should happen, who is responsible, and when the team should review the result. Keep supporting documents with the decision so the books, payroll, and return preparation can follow the same facts.
