# Build an expense reimbursement process owners can follow

Give business expenses a consistent path from receipt to books.

A reimbursement process should tell the person submitting an expense what to provide, where to submit it, and who reviews it. Ask your tax adviser which reimbursement rules apply to the business and the person receiving the payment before adopting a policy.

## Make the business purpose visible

Retain the receipt, identify the business purpose, and record the relevant date and participants when appropriate. Keep business and personal amounts separate. A bank or card statement may show a payment without explaining its purpose or providing all the supporting detail.

## Connect the policy to the books

Assign responsibility for reviewing claims and recording approved payments. Reconcile advances and reimbursements so amounts are not duplicated or left in an unexplained account. Ask the adviser to confirm the policy's substantiation and timing requirements for the actual arrangement.
